Terms & Conditions

Welcome to Maple Valley Limos & Car Service. By making a vehicle reservation or using our luxury ground transportation services, you explicitly agree to the following Terms & Conditions. Please review these policies thoroughly prior to finalizing your booking.

01. Reservations & Confirmations

All bookings are strictly subject to vehicle availability and chauffeur scheduling. A reservation is considered formally confirmed only after you receive an official confirmation email or text from our dispatch team and any required deposit or payment authorization has been successfully processed.
 
Clients bear full responsibility for providing precise trip details at the time of booking, including exact pickup addresses, flight numbers, drop-off destinations, dates, times, passenger counts, and luggage volume.

02. Rates, Gratuity & Payments

Our pricing framework is dynamically calculated based on the requested vehicle type, trip duration, geographic routing, and specific event requirements.
  • Gratuity: A standard 20% chauffeur gratuity will be automatically added to all final booking invoices.
  • Incidentals: Additional fees may apply for road tolls, airport parking fees, extended waiting times, extra unscheduled stops, cleaning, or sudden itinerary modifications.
  • Hourly Minimums: All hourly-based charter services require a minimum 4-hour reservation unless explicitly stated otherwise by our management team in writing.

03. Cancellations & Non-Refundable Deposits

Cancellation eligibility and refund structures depend entirely on the chosen vehicle class, event type, and the amount of advance notice provided.
  • Specialty vehicles—including Stretch Limousines, SUV Limos, Party Buses, and Coach Buses—as well as peak-demand seasonal dates (such as Proms, Homecomings, and major Seattle concert nights) may require non-refundable deposits.
  • The exact cancellation window and policy applicable to your specific ride will be detailed on your booking invoice.

04. Flight Tracking, Waiting Time & Delays

We ask all clients to be waiting and ready at their scheduled pickup times. Additional waiting-time surcharges will apply if a vehicle is required to wait past the standard included grace period.
  • Airport Arrivals (Sea-Tac): We utilize real-time flight data tracking to monitor your arrival. We automatically absorb standard airline delays; however, excessive baggage delays or terminal issues beyond a reasonable window may incur wait fees.
  • Force Majeure: While Maple Valley Limos guarantees a 100% on-time commitment under normal conditions, we cannot guarantee exact arrival times when delays stem from circumstances beyond our control. This includes severe traffic gridlock on WA-167 or I-5, extreme Pacific Northwest winter weather, unexpected road closures, or highway accidents.

05. Passenger Conduct & Safety

Passengers must behave responsibly and strictly adhere to all safety instructions issued by the chauffeur. Smoking, vaping, illegal substances, and any unlawful activity inside our vehicles are absolutely prohibited.
 
Our chauffeurs reserve the right to immediately terminate the service without a refund if passenger behavior creates an operational safety hazard, inflicts verbal or physical abuse, or violates Washington state law.

06. Vehicle Damage & Specialized Cleaning

The individual who organizes and pays for the reservation assumes full financial responsibility for any physical damage inflicted upon the vehicle by any member of their traveling party.
 
Additional specialized cleaning fees (ranging from $250 to $500+) will be immediately charged to the credit card on file for excessive messes, beverage spills on leather interior, smoking burns, or vomiting.

07. Alcohol Consumption Policy

Alcohol consumption inside our luxury fleet is permitted strictly where allowed by applicable Washington state law and corresponding vehicle licensing regulations (typically limited to formal limousines and party buses equipped with privacy partitions). Under no circumstances may any individual under the legal drinking age (21) consume alcohol inside any of our vehicles.

08. Passenger & Luggage Capacities

For safety and legal compliance, the total passenger count cannot exceed the maximum permitted seating capacity of the specific vehicle reserved (e.g., maximum 3 passengers for Sedans, 6 for SUVs, up to 20 for Party Buses). Chauffeurs are authorized to decline transport if a party arrives with excess passengers or a volume of luggage that compromises safe trunk closure or vehicle operation.

09. Lost, Forgotten, or Left Behind Items

Maple Valley Limos & Car Service is not legally liable for any personal belongings, electronics, or valuables left behind in our vehicles by passengers. If you believe you dropped or misplaced an item during your ride, please notify our office dispatch immediately. We will make every reasonable effort to inspect the vehicle cabin and help locate your property.

10. Modifications to Active Bookings

Any mid-trip alterations to pickup times, routes, additional destinations, or vehicle upgrades are subject entirely to real-time fleet availability. Authorized route changes requested live on the road may result in automated adjustments to your final credit card billing statement.

11. Amendments to These Terms

We reserve the right to update or modify these Terms & Conditions periodically to reflect changing regulatory standards or company policies. The specific version published on our live website at the exact timestamp of your booking will govern your ride.
